Food is one of the most important aspects of planning any party because it is what your guests will be talking about and probably eats up a huge portion of your budget, so it better be worth your while. Read on for how to choose the best caterer while safeguarding your wallet too!
Run a quick search online using keywords like “best caterer near me”, you want to find a caterer that isn’t too far off from your event as this will ensure that they know the area and will be able to deliver the food without getting lost along the way. This happened to me before and trust me – it wasn’t easy trying to keep a room full of hungry women at bay while I screamed directions through the phone. Read up on reviews left by people who have used their service before.
Another great way to do your research is via word of mouth recommendations, this is always a good choice as you personally know the reviewer and often share the same taste. Proper research will narrow down your search for a good caterer because you’ll know they follow through on their promises and can expect the same level of service as they have given someone else. Or if you really want to save time – just reach out to one of our catering experts on Gawin.ph!
Have they done an event like yours before? Just because they did an amazing job at your friend’s five-year-old daughter’s birthday party doesn’t mean they’ll be great for your Christmas dinner party. Ask for references of similar events that they have done before, it’s not about not trusting them – it’s to make sure that you’re on the same page. To you a beach themed party could mean food served on floats, exotic themed drinks in coconuts, waiters dressed in floral shirts while to a caterer it might just mean sticking an umbrella in the food and drinks. Save yourself the disappointment and don’t sign a contract with your head in the clouds. Be clear about everything!
Any half decent caterer will have different menu options that you can choose from so you’ll have plenty to choose from. However, some of them can be a little a sticky if you ask them to fine-tune the menu to better serve your purposes. Make no mistake about it, this is your event!
Don’t change your plans to accommodate to your caterer – they should have the flexibility to customize their menu to suit your needs. Also, don’t be shy to ask for a tasting session. There’s no better way to be certain that that’s how you want the food to taste and what the presentation will be like on the event day.
Planning an event is no easy task. There are so many people to coordinate with and you might lose track on what has been agreed on. Trust in your caterer and the binding of a promise is well and good but nothing beats the written word in black and white followed by the signature on the dotted line. Be sure that your caterer gives you a contract and that everything from the price down to what the waiters will be wearing is clearly stated in the contract.
You might have started off negotiations for an event with 200 pax in mind but in the end decided to downscale to a cosy 40 pax instead, but your caterer arrives on the day to feed five times the number of people at your party. Not only are you left with more food than your stomachs can handle but you have a hefty bill to boot. Having a contract that clearly states everything will ease your mind and serve as insurance should something go wrong.
Speaking of insurance, even the best-laid plans have a way of unravelling – what if you need to cancel your party at the last minute? Are you still expected to pay the full amount or can you get your money back? What happens to your deposit money?
These are all questions that should be answered in that all-important contract I mentioned above. Make sure you ask about your caterer’s cancellation policy from the very beginning and ensure that it is stated in the contract. Some caterers will be willing to give back a portion of the money but keep some (usually the deposit) as they could have booked someone else had it not been for your event. However, there are some caterers that do not accommodate for cancellations and will keep the money in its entirety. So, if you aren’t 100% sure about your event, go with caterers that have a money-back cancellation policy.
